The Purchasing Specialist is the primary point of contact for Vancity Staff to get support for escalating purchasing portals issues, maintain the centralized filing for procurement process (bid, tenders, etc.), and address purchasing inquires via email. The Purchasing Specialist will maintain relationships with key suppliers of generic items (office supplies, stationary, coffee, couriers, travel agency, etc.) and address some supplier inquiries via email.

You will:

  • Negotiate and purchase generic products so that best value is achieved and delivery is timely.
  • Maintain vendor relationships for generic products in order to optimize pricing, availability and other benefits (i.e. Warranties), including processing related centralized invoices for payment. Assist with ongoing monitoring of external service providers relationships, including keeping vendor performance scorecards.
  • Administer Purchasing Portals, including monitoring access credentials to staff, update products, and place blanket Purchase Orders.
  • Monitor purchasing generic inbox, address enquiries from staff and suppliers in a timely and positive fashion. Identify, investigate, and communicate operational issues on a timely basis to support issue resolution.
  • Monitor, maintain, and efficiently and effectively resolve any issues related to the procurement lifecycle document repository and its systems.
  • Maintain and keep up to date all Purchasing Insite pages.
  • Support the delivery of reporting, inclusive of data collection and responding to any inquiries. Assist with purchasing reporting to regulators, management, the Board, annual reporting and others as required.
  • Provide technical expertise and advice on procurement policy to internal stakeholders as required to meet business needs.
  • Identify opportunities to optimize and improve processes in order to enable greater efficiencies.
  • Assist lines of business in connection with requirements gathering, due diligence or onboarding of new suppliers, including analysis related to the application of our Values and Commitments when entering a relationship with Suppliers
  • Assist line of business with contract e-signature and submission of contracts for Gatekeeper.

You are:

  • Computer and Tech Savvy – with mid level skills in Microsoft Word, and high level skills in Excel and Outlook with a strong knowledge of Web applications (Microsoft teams, sage or accounting programs, contract management programs or ERP systems).
  • An Excellent Communicator and Planner – both written and verbal with outstanding organizational skills. Time management and prioritization are top of mind and you are able to deliver quality work.
  • A Relationship Builder – professional relationships with management, staff and vendors/suppliers. You are able to manage these relationships with ease and have a customer focus.

  • Some Post Secondary Education – diploma in procurement and supply chain management preferred.

As a Manager Business Analysis, you serve a critical role in ensuring that Vancity achieves its financial and strategic objectives. The mandate of the Financial Planning & Analysis group is to democratize and demystify performance information, ensure an optimal allocation of resources across the organization that is aligned to Vancity’s strategy, and to support the coordination of initiatives, projects, and programs through effective financial planning. This role directly supports the Director, Financial Planning & Analysis and leads a team in the annual budgeting and monthly/long-range financial planning processes for the Vancity group of companies and supports all leaders and functions with operational reporting, dashboards, and financial analysis.

A typical day would involve:

Reporting and Analysis – Establishing an account manager relationship with senior leaders of the respective accountability areas, providing financial reporting and analysis to enable informed decision making.
Financial Modeling – Establishing and monitoring key revenue (where applicable) and expense drivers on an ongoing basis and provide forecasting, planning, and analytical support through the development of the aggregate financial plan. In addition, you will be maintaining an accurate and up-to-date view of the business’ financial performance and providing analysis and advice to the enterprise on initiatives.
Relationship Building – Acting in a concierge role to broker other services from the Finance division to senior leaders through identification of needs and opportunities.
Team Development – developing the talent pool within your team
Risk Management – integrating risk management processes to ensure the ongoing identification, monitoring, and assessment of risks plus implementing strategies to address key risks.

Minimum 2 Years of experience at the management level or higher.
Business acumen in the context of the financial industry.
Communication and interpersonal skills to create clear understanding of expectations, address challenges and issues for the business unit; and represent the unit across the organization.
Knowledge of the concepts, practices and techniques of the related field.
Planning and coordination skills to develop operating plans, processes, methods and standards for a unit and to coordinate delivery of programs and services.
