THE POSITION

To ensure all aspects of Telecommunications services achieve the highest possible guest satisfaction in accordance with the Hotel’s standards.

KEY ROLES & RESPONSIBILITIES

  • Manage and supervise all tasks of his/her staff
  • Direct, supervise and coordinate activities in Guest Service Center department
  • Develop and implement procedures for proper handling of in- and out-going telephone calls, faxes, rental equipment, and other telecommunication services
  • Investigate complaints regarding telecommunication services and operators and technicians, take appropriate actions.
  • Establish and maintain effective employee relations
  • Organize and conduct regular meeting for all Telecommunication staff to facilitate communication and a smooth operation
  • Manage and monitor the operation of all equipment, software, hardware and ensure all units are working and installed properly
  • Ensure preventive and corrective maintenance for all telecommunication equipment
  • Monitor the performance of PABX/Voice Mail/Call Accounting software and maintain logbook of equipment performance report
  • Investigate and report software problems to respective vendors, coordinate interface problem solving with the hotel’s System Manager
  • Maintain records to process telephone calls in the billing system
  • Perform PABX data-base programming and regular service change to control class of service on all telephone sets in the hotel
  • Prepare and controls departmental budgets
  • To attend Telecommunication seminar, product knowledge, presentation, organized by the external bodies
  • Conduct shift briefings to communicate hotel activities and operational requirements
  • Prepare work and vacation schedules for Guest Service staff, taking into consideration occupancy and forecasts and any large group movements
  • Adhere to OH&S policies and procedures and ensure all direct reports do the same

HUMAN RESOURCE AND TRAINING RESPONSIBILITIES

  • Work with Superior and HR Manager to ensure productive departmental performance:
    • Prepare induction programs for new employees
    • Conduct regular on-the-job training
    • Provide input for probation and formal performance appraisal discussions
    • Coach, counsel and discipline staff in breach of hotel policies and departmental procedures, providing constructive feedback to enhance performance

KEY ROLES & RESPONSIBILITIES

  • Manage and supervise all tasks of front office personnel to ensure guests receive prompt, cordial attention and personal recognition
  • Supervise the Front Office team to ensure optimum occupancy and average room rate for the purpose of maximizing revenue
  • Monitor Front Office, and particularly Guest Relations personnel, to ensure priority guests, repeat guests and other VIPs receive special attention and recognition
  • Promote Inter-Hotel sales and in-house facilities and monitors Front Office Marketing techniques in line with FIT marketing program
  • Maintain inter-departmental relationships to ensure seamless customer service
  • Assume overall responsibility for maintaining standards to ensure furnishings facilities and equipment are clean, in good repair and well maintained
  • Schedule and regularly conducts routine inspections of areas under his/her control
  • Maintain knowledge of credit policies and procedures and liaise closely with Finance Department to ensure that credit procedures are properly carried out

To maintain a high standard of all food preparation, service and hygiene in their respective Kitchens, according to the standards required by the management.

KEY ROLES & RESPONSIBILITIES

QUALITY STANDARDS

  • Ensure consistency and highest quality in food taste, temperature and presentation
  • Ensure the quality and cleanliness of all food displays with maximum creativity

Operations

  • Coordinate all Restaurant / Banquet / food production, and all specific duties to chefs and other staff under his/her supervision
  • Check all set-ups for restaurant and banquet functions. Responsible for the correct timing during service and that food served is always of the highest standards
  • Monitor and implement portion control established with the recipe cards and the butcher test; minimise waste and spoilage
  • Check stores and refrigerators and oversee proper storage and recycling of leftovers
  • Ensure effective communication among the kitchens and with other departments
  • Work closely with receiving and storeroom to ensure received goods meet Hotel’s quality standards specifications
  • Supervise food tasting sessions and guide chefs for new menu implementation
  • Attend meetings with Executive Chef to discuss future business strategy and review ongoing action plan progress, and other departmental meetings as required
  • Update menu recipe cards and menu planning for promotions

Training/ Development

  • Conduct staff training and on-the-job training on kitchen skills and new menu items

Cost Control

  • Maintain proper controls over purchase orders and requisitions
  • Monitor monthly food inventory turnover and slow moving items

Hygiene and Sanitation

  • Follow HACCP guidelines and ensure that staff comply with HACCP guidelines
  • Works closely with Chief Steward to monitor and ensure that all cleaning is properly conducted and according to schedule

Staffing / Human Relations

  • Recommend promotions, transfers of staff to various outlets for Executive Chef approval
  • Monitor staff schedules for the assigned outlets
  • Conduct section / departmental meetings and staff daily briefings
  • Manage staff appraisal process
  • Responsible for proper efficiency and profitable functioning of the assigned F&B outlets

Others

  • Assign specific duties to all employees, instruct them in their work and communicate with Executive Chef on all aspects of the kitchen management
  • Communicate with the Executive Chef on guest-related activities and comments, solving any problems directly, efficiently and effectively to the best of his/her judgment
  • Attend all meetings which fall under his/her jurisdiction, follow directives given and advises Executive Chef on topics of importance
  • Recommend to Executive Chef changes in kitchen equipment and organizational structure and relays any recommendations from the rest of the kitchen brigade
  • Keep ahead of trade practices in the food service industry through trade magazines, competitive surveys and other aids
  • Prevent the usage of spoiled or contaminated products in any phase of food preparation and prevent unwell employees from taking part in the preparation or handling of food
