Job Description

Summary

The HR Events Specilaist is responsible for assisting with the planning and execution of corporate and functional events from conception through to completion, in consultation with executive and management teams.

The incumbent will assist with all event delivery elements, including event planning, design, production, supplier sourcing, contracting and payment for in-person and virtual events.

The role requires an experienced professional with strong interpersonal and communication skills, who is able to manage multiple initiatives concurrently and is able to prioritize to ensure timely and successful execution.

Accountabilities

  • Assist with the planning, coordinating, and organizing of events aimed at supporting employee engagement by:
  • Create event plans and schedules including timelines, key milestones, and deadlines for each event.
  • Collaborate with internal departments to ensure that print and digital material is submitted, produced, proofed, and delivered according to schedule (i.e., guides, posters, signage, handouts, multimedia).
  • Collaborate with appropriate departments to promote and publicize events to ensure maximum awareness.
  • Work with 3rd party event providers in a collaborative manner to ensure that goals of the event are achieved, and budget is adhered to.
  • Coordinate entertainment and speakers including all related arrangements
  • Book event space and manage related contracts
  • Design room layout and floor plans and work with venue to ensure all specifications are met
  • Order food & beverages, equipment, supplies, etc.
  • Coordinate audio visual equipment and signage
  • Distribute thank you letters, gift and event evaluation questionnaires
  • Arrange flights, transfers and hotel rooms for guest speakers, exhibitors, etc. as required.
  • Ensure compliance with insurance, contractual, legal, health and safety obligations.
  • Outline employee and volunteer requirements and coordinate sourcing
  • Conduct post-event evaluations, debriefs and report on outcomes to improve future events.
  • Maintain a record of attendee participation
  • Track and process event finances including cheque requisition, invoicing, and reporting.
  • Additional duties as may be assigned from time to time.

REQUIREMENTS

Education:

  • Accredited Certified Meeting Professional (CMP) or comparable event management certification preferred.

Experience:

  • Minimum 3 years of event planning experience with small and large format events of 1,000+ attendees.
  • Exceptional organizational, time-management skills, and project management skills with ability to multitask.
  • Excellent written and verbal communication skills.
  • Strong interpersonal skills.
  • Works well under pressure.
  • Proficient in Webex, Teams/event recordings, MS Office, including Word, PowerPoint, Outlook, and Excel.
