Position Summary: Performs a range of HR and recruitment related functions that support both HR and recruitment strategies, in particular ensuring the timely recruitment of physicians and other support roles. Provides overall department coordination and support in relation to generating reports or statistics as well as in administrative roles.

Requirements
Education: Education: Degree in any related field, preferably administration
Experience: At least 2 (preferably 5) years related working experience in a hospital or clinical environment

Job functions and Key Accountabilities:

  • Ensure compliance with all current departmental policies and procedures.
  • Responsible for screening, circulating and interviewing candidates, as well as keeping up to date on UAE labour law and regulations.
  • Arrange interviews by coordinating schedules with the concerned department representatives.
  • Formulate, obtain the necessary approvals and send offer letters to candidates
  • Communicate effectively and in a timely manner with all candidates. Acts as point of contact for the prospective candidates and guide them through the hiring process.
  • Respond to candidate concerns/questions, maintain detailed and accurate records of updates and maintain a rapid response rate.
  • Performs administrative duties including written correspondence, reports as requested by the HR Manager.
  • Maintain confidentiality of the information obtained. Communicate with the HR Manager openly and in a timely manner so that all issues or concerns raised can be effectively dealt with.
  • Manage, organize, and update relevant data needed for staff recruitment activities.
  • Coordinate flight details and accommodation particulars for new staff with the concerned representative(s).
  • Prepare itineraries and welcome kit, orient and act as point of contact in the on-boarding process for new staff
  • Screen recruitment agencies. Communicate with agencies regarding contracts, renewals and invoice processing for agency candidates.
  • Initiate and organize local and international recruitment drives/trips as required.
  • Assist with implementation of recruitment software. Create and update vacancies in website as required.
  • Assist with any HR policies if requested and attend the policy and procedure meetings in the absence of the CHRO.
  • Ensure employee/candidate files are complete and filed correctly in a secure place.
  • Obtain and update job descriptions as per JCIA requirements.
  • Arrange and participate in project team activities related to HR.
  • Communicate with recruitment agencies, government office and other external groups as required.
  • Pursue personal development of skills and knowledge necessary for the effective performance of the role.

Position at Kanad Hospital

The Doctor’s assistant is a medical support professional that performs a variety of tasks to assist physicians in providing patient care, while ensuring that clinics and hospitals run smoothly and efficiently. Doctor’s assistants focus mainly on providing support services directly related to patient care and are more often found at the physician’s side working in close contact with patients, mainly in outpatient or ambulatory care settings.

Requirements-
Languages: Fluent in English. Arabic and Urdu knowledge is preferable.
Education: High school diploma or equivalent.
Experience: it is desirable to have a good understanding of medical procedures, as well as a familiarity with medical terminology

Roles and Responsibilities:

  • Room preparation
    • Make sure to change sheets on the examination table and dispose of and replace used disposables with new ones
    • Make sure all the documents/ papers and other equipment or stationary required by the doctor is available in the room prior to patient visit
    • Call for the next patient as doctor is doing patient education with the current patient
  • Patient Interaction
    • Assist patient with moving/sitting if required by patient
    • Help translating doctors communication to patient as required
    • Facilitate the logistics of patient waiting and movement by communicating with them about wait times, delays, waiting areas, and by guiding them to Laboratory , Radiology etc
  • Doctor Interaction
    • Enter patient information into system while doctor is talking/examining patient
    • Assist doctor in entering the results in the patient electronic record
    • File the results after doctor signs them into the patient folders
    • Call back patients after lab/radiology test to inform them if their tests are normal
    • Assist doctor with sick leave entry into the HAAD system and sick leave filing
    • Prepare admission packages with stickers and the needed signatures
    • Coordinate with insurance for sending the claim form and keeping the forms inside the clinic
    • Handle phone calls when the doctor is busy with a patient
    • Maintain patient database as required in the department for any analysis purposes.
    • Assist Doctor with any additional printout/photocopy or equipment that may be required during consultation
