What you will do

 

  • Manage the team to deliver on-time monthly accounting close for general ledger, fixed asset, tax, revenue, and expense and ensure balance sheet integrity.
  • Ensure accounts payable function is performed effectively.
  • Preparation of budgets in conjunction with all departments to ensure the reliability of the key assumptions. Control and monitoring of operating budget, investigating variances where necessary.
  • Develop reports and financial analysis as required for external and internal purposes.
  • Contribute to finance business excellence projects, particularly reporting automation and process improvements.
  • Oversee and ensure accuracy of bank reconciliations and reconcile the outstanding items.
  • Recommend and maintain a system of policies and procedures that impose an adequate level of control over finance department activities.
  • Liaise with external auditors and finalize audited financial statements as per set deadlines.
  • Ensure submitting the annual tax return and financial statements and making necessary payments to the tax authority and meeting other General Tax Authority requirements like withholding tax and contract reporting.
  • Monitor petty cash and ensure accurate bookkeeping and custody.
  • Assist the investment manager in monitoring the loan facility requirements/ covenants and make sure to submit any deliverable reporting to lenders.
  • Liaise with banks and lenders in Doha for banking operations.

Overview of the role:

To find and assist in fulfilling customer requirement of parts and be able to supply as soon as possible his requirement and can advise related parts.

What you will do:
Handle complete parts sales process of walk-in and telephone customers from enquiry to sales order process to achieve monthly budgeted net sales.

  • Responsible for credit customer’s follow-up of payments as per credit terms and conditions granted to the customers.
  • Ensure to communicate and consume parts ordered on urgent orders as soon as parts received.
  • Collect retail customer data and feedback in the given format and convert them to service to generate additional revenue of labour and recalls.
  • Ensure sales orders, purchase orders, deliveries, cash collection, cash deposits are closed on time as per company standards and documents are filed for records.
  • Assist warehouse team with monthly perpetual inventory to maintain stock inventory with no discrepancy during annual stock report.

Follow customer service values and achieve CSI targets to surpass in meeting the needs and expectations of the customers.

Required Skills to be successful:

  • A minimum of 2-3 years experience within spare parts operations, preferably at an automotive parts sales counter, familiarity with safety standards during work for people, machines and material
  • Communication skills in English / Arabic, Good interpersonal skills, Good in MS Office, Well –versed in EDOL
  • Ability to speak, write and read English to deal with supervisors and customers
  • PC literate; knowledge of SAP preferred ; relationship builder; the ability to build and maintain friendly, warm relationships with customers, good listener

Role Accountabilities:

  • Coordinate contractor’s assets and facilities maintenance activities.
  • Undertake inspections, prepare performance reports, and manage client service requests.
  • Liaise with the project representatives, and operations team, and ensure that all required materials or spare parts are procured in a timely manner.
  • Manage the assigned project scope and provide excellent customer service by planning and ensuring planned preventive maintenance follow-up and closure procedures.
  • Control and maintain all master files and records related to approvals, material orders, and technical correspondence with Contractors, Vendors, and Internal departments.
  • Update file numbers in the O&M filing system for all PPM/CM activities carried out at the site.
  • Conduct proper filing procedures for HVAC, Plumbing, Electrical, and other FM activities with proper tagging and labeling for respective scope.
  • Submit all payment certificates and record all documents and filing.
  • Raise and follow up on purchase order creation.
  • Follow-up payments with the FM department clients.
  • Prepare, Submit invoices and quotations to clients.
  • Maintain a complaints register and update on a daily basis.
  • Prepare weekly/monthly reports in accordance with company deadlines.
  • Resolve any customer issues to meet customer expectations and satisfaction.

Role Qualifications:

  • Professional Diploma or any equivalent degree in mechanical engineering.
  • 5 – 7 years of experience in MEP maintenance and operations.
  • Driving License in Qatar is a must.
  • Strong knowledge of MEP and HVAC systems.
  • Excellent communications skills and client relations management.
