Perform all recruiting, hiring and on boarding processes including: advertising, sourcing, screening, interviewing, testing, short listing, negotiating, offering, on boarding, induction.

· Liaise with the marketing team in Doha and the UK for recruitment related activities.

· Liaise and coordinate with reputable recruitment agencies/ portals for sourcing the right candidates ensuring that costs are minimized where possible.

· To ensure the keep-up and maintenance of a CV database to facilitate the recruitment process.

· Undertake all required pre-employment checks including reference, background, qualification, and advise the line managers accordingly as and when required.

· Liaise/Meet the new joiners and follow-up on all related matters during post-selection and pre-employment period.

· Ensure that all HR and Recruitment policies and procedures are safeguarded and strictly adhered to.

· Participate in required recruitment related Job fairs and such.

Payroll:

· Monthly preparation of ACS Doha by ensuring all the data is correct.

· Ensure the accurate communication of information for the purposes of Doha payroll each month ensuring all required paperwork is completed and that information such as starters/leavers, changes to salary, benefits etc. are made, ensuring effective liaison with payroll staff in UK

· To generate and update the following month-end reports: Annual Leave, Sick Leave, Unpaid Leave, Maternity Leave , Overtime, etc…

· To post bank accounts in the Payroll sheet and ensure all employees are paid via a current bank account.

· Handle employee payroll queries, issues and feedback to employees in a timely manner.

· Prepare Final Settlement calculation for Leavers as required by ensuring accurate calculations are made and relevant documents are received (Exit Checklist, Discharge certificate etc…).

· Oversee procedures related to employee resignations and ensure final settlement and entitlements are made.

· Ensure any payroll requests related to Salary advance, relocation benefits, education benefits, etc. And check and in accordance with policies and procedures.

· Manually check payroll details against supporting documents for transactions including deductions, additions, payables, leaves, etc.

· Meet payroll deadlines and ensure accuracy is maintained by end of the month.

· Undertake research into local compensation levels and benefit provision if required. Liaise with central HR team for guidance on salaries and benefit packages.

· Counter checking and signing of all salary related letter and certificates issued to employees.

Immigration & MOE:

· Manage all immigration, visa and work-permit related activities for all employees by monitoring the HR coordinator day to day immigration related activities.

· Handle the coordination between MOE and HR.

· Submit the staff/new joiners’ applications for MOE approval and maintain record of the applications and the process.

HR:

· Oversee probation reviews of all employees in accordance with agreed guidelines.

· Assist the HR Manager in writing and continually reviewing HR policies, procedures, practices, personnel administration systems, updating and / or recommending improvements as appropriate to management’s requirements.

· Produce regular, agreed reports and documentation to enable effective analysis of organisation

· Ensures school’s compliance with employment law requirements by keeping abreast of impending legislative changes, sharing information with the rest of the HR team and communicating as necessary to key stakeholders

· Ensure all ACS Doha HR processes and practices are in line with Qatar Labor Law, ACS Policies and consistent with the rest of the organisation where possible.

· Handle HR related staff events and departmental functions.

· Undertake any other duties as required.

Purchase Orders:

· Handle HR related purchase orders from receiving the invoice up to making sure the payment Is made.

KNOWLEDGE, SKILLS & EXPERIENCE REQUIRED

Experience in a busy HR team in a multi-functional, customer focused environment
Good generalist HR knowledge, ideally gained in the Middle East
Able to demonstrate understanding of data flow and reporting
Strong Excel skills
Fluent English and Arabic speaker

Fire Safety Officer

ACS International Schools are looking for an experienced Fire Safety Officer, working as part of the Facilities team for all 3 campuses, Cobham, Egham and Hillingdon to take responsibility for completion of the statutory activities and compliance as described in the Regulatory Reform Fire Safety Order 2005 and revised Fire Safety Act 202.

Main Responsibilities:

  • Establish and maintain day time routine for weekly building inspection and fire alarm testing.
  • Ensuring that all fire safety signage and procedures are displayed within the buildings
  • Ensure all fire related assets are identified, documented and labeled in a consistent manner both physically and within the fire alarm panels.
  • Project manage fire related works such as door surveys and remedials, compartmentation surveys and remedials.
  • Work with external contractors to ensure maintenance is completed and documented.
  • Manage regular announced and un-announced fire evacuation tests.
  • Provide and/or arrange training for staff and fire marshals.
  • Ensuring that the school fire policies and procedures are fit for purpose and uniform across the campus, reviewed and updated
  • Emergency lighting tests and validation of correct positioning and lux levels (in conjunction with in house maintenance team/external contractors as required)
  • Evaluation and validation of correct fire signage
  • Create/maintain suitable building packs for Fire Service use to be held with main security
  • Ensure school compliance with respect to housekeeping.

Knowledge, Skills & Experience Required:

  • Active working knowledge and experience of the Regulatory Reform Fire Safety Order 2005 and the revised Fire Safety Act 2021.
  • Graduate Member of the IFE – GIFireE OR Full Member of ISFM – MISFM
  • Working experience and knowledge of cause and effect and testing of related fire alarm interlocks: HVAC, lifts, access control, door releases etc.
  • Writing and implementing policies and procedures.
  • Strong listening and collaboration skills.
  • The ability to work as part of a team or individually.
  • A fully enhanced DBS check is required – This is an essential requirement
  • Full UK driving License

ASSISTANT HOUSEPARENT (FEMALE)

ACS International Schools is looking for a female Assistant Houseparent to join the team at ACS Cobham. The purpose of this role is to assist the Houseparent in managing the boarding house before and after school, including during evenings and weekends. You’ll also be part of an emergency call overnight duty rota. This role involves working to ensure the happiness, well-being, safety and wellbeing of female students.

Woodlands House is an extraordinary place to work, a diverse global community housing over 100 teenagers aged 16-18 who join us from countries all over the world.

We are seeking an enthusiastic and skilled Assistant Houseparent to join our team to help support and enrich the lives of our Boarders. Although our Boarding Houses are co-educational, due to the residential nature of the role and scope of boarding responsibilities, the school can only consider applications from female candidates, as an ‘occupational requirement’ under the Equality Act 2010.

The successful candidate will have the experience and energy to relate to and support our diverse pupils. We are looking for someone who can relate well to teenagers and who can contribute to our Enrichment programme.

This is a part time role (24.5 hours/week), term time only. Meals are free when the school is in session.

The part time nature of this role makes it ideal for combining with personal study or another role within the school. We currently have some part time vacancies at ACS which are shown on our website, Applications from those planning a career in teaching are also welcome.

Accommodation is provided on our beautiful 128-acre campus. Staff have access to facilities including the gym, swimming pool, running track, tennis courts and woodland walks. The flat provided is a large studio flat with kitchen, en-suite bathroom and large outdoor balcony. The location of ACS gives easy access to Waterloo within 30 minutes. We have over 25 staff who live on campus who create a fun and enjoyable community.
